Terms & Conditions
Draft for review · 2 October 2026
These terms apply to every tour, ticket and service booked through Machu-Picchu.tours, which is operated by Traveleez Peru SAC (RUC 20612102849), a tour operator licensed by Gercetur (N° 598-2024-GR/GERCETUR-SGFC). By paying a deposit or joining a tour, you accept these terms. All amounts are in US dollars unless stated otherwise.
1. Quotes and bookings
- Prices on this website are reference “From” prices. Your final price is the one in your written quote, which depends on dates, availability, group size, train class and hotels.
- Your booking is confirmed when we receive the payment required in your written quote and send you a written confirmation.
- Names, passport numbers, nationalities and ages must match your passport exactly. You are responsible for the accuracy of the details you send us.
- Student prices require a valid physical university ID with a photo and an expiry date. A copy must be sent at the time of booking.
2. Payments
- Depending on the tour, the written quote requires either a 50% deposit or full payment to book. It states the amount due, any balance and its due date before you pay.
- We check availability before payment. After receiving the required payment and your correct traveler details, we arrange applicable tickets and permits in your name and send written confirmation. Availability can change until they are issued; if the quoted option is no longer available, we will discuss alternatives with you.
- We accept Visa, Mastercard, American Express, PayPal, WeTravel and bank transfer. Card payments carry a processing fee of about 5%, and PayPal payments about 7%.
3. Machu Picchu tickets and Inca Trail permits
- Machu Picchu tickets and Inca Trail permits are issued by the Ministry of Culture of Peru in each traveler’s name. Once issued, they cannot be refunded, transferred, or changed in name, date or circuit.
- Only the Ministry of Culture may approve a refund or change, in exceptional cases such as official closures. We will help with the process, but we cannot guarantee the outcome or its timing.
- You must carry the original passport used for the booking. Travelers who renew their passport must bring both the old and the new one.
- The Inca Trail closes every February. Circuits, entry times and visitor limits are set by the authorities and may change.
4. Cancellations by the traveler
Cancellations must be sent in writing. The following amounts are due, as a share of the total tour price:
| When you cancel | Amount due |
|---|---|
| More than 6 weeks before the tour | Initial payment specified in your quote, subject to the tour’s stated cancellation terms |
| Within 6 weeks of the tour | 60% |
| Within 2 weeks of the tour | 80% |
| Within 7 days of the tour, or no-show | 100% |
Government tickets, permits and non-refundable train tickets are never refunded, whatever the date of cancellation.
5. Changes by the traveler
Requests to change dates, names or services must be made in writing and depend on availability. Administrative fees and supplier penalties may apply. Changes to issued tickets or permits are not possible.
6. Group sizes and services
- Shared tours have up to 16 travelers; the Classic Inca Trail has up to 10 hikers. Private tours are for groups of up to 10.
- In shared tours, pace and timing are agreed by the whole group. Your guide may adjust the itinerary for safety, weather or access rules.
- Services not used during the tour (meals, entries or activities) are not refunded.
7. Minimum ages and minors
- Inca Trail tours: minimum age 10. Other treks and day hikes: minimum age 8. Train tours and Cusco and Sacred Valley tours: all ages, with 8+ recommended.
- Travelers under 18 must travel with a parent or legal guardian, or carry a notarized travel authorization as required by Peruvian law.
8. Health and fitness
- You must tell us about medical conditions, allergies or reduced mobility before booking.
- Travelers over 70 must present a recent medical certificate confirming they are fit to travel at altitude.
- Pregnancy must be disclosed when booking. We may decline participation after 24 weeks of pregnancy, or for anyone who is not fit for the physical demands of a specific tour.
- If illness or injury stops you from continuing a trek, our team will help you reach the nearest exit or meeting point. Medical, evacuation and extra transport costs are your responsibility, and unused services are not refunded.
9. Travel insurance
We strongly recommend travel insurance that covers medical care, evacuation, cancellation and personal belongings. For adventure activities such as biking, rafting and zipline, your policy must cover adventure sports. Insurance is not included in our prices.
10. Changes and cancellations by us
We may change an itinerary or cancel a service for safety, weather, strikes, natural events or decisions by the authorities. We will offer the best available alternative. Refunds or credits in these cases depend on what suppliers and authorities return to us.
11. Liability
We work with trained staff and trusted local suppliers and take reasonable care to keep you safe. We are not liable for the acts or omissions of third parties, for events beyond our control, or for the loss of personal belongings.
12. Your conduct
Please follow your guide’s instructions and respect local laws, communities and protected sites. We may remove any traveler whose behavior puts others or the environment at risk, without a refund.
13. Photos and videos
Our guides may take photos or videos during tours for our website and social media. If you prefer not to appear, tell us in writing before your tour.
14. Complaints
Please report any problem to your guide during the tour so we can solve it on the spot. Written complaints can be sent within 7 days after your tour ends, and you may also use our Claims Book.
15. Applicable law
These terms are governed by the laws of Peru. Any dispute will be handled by the courts of Cusco, Peru.
